Irish travel and subsistence rules aren't hard because of the maths. They're hard because the right rate depends on things a spreadsheet can't see.
The rate per km depends on how far each person has driven so far this year. It changes at 1,500 km, again at 5,500 km and again at 25,000 km. A spreadsheet doesn't track that per person.
Five hours away, ten hours away or overnight: each has its own rate, and the trip has to take you at least 8 km from your normal place of work for any of it to apply.
Since January 2024, employers report travel and subsistence payments to Revenue through ERR, on or before the day they pay them. The figures need to be right first time.
Log the trip leg by leg, let the rates apply themselves, and export Excel, PDF or the ERR file. This is the real flow, playing on its own.
Claims arrive with the distance, band and rate already checked. Approve the good ones, send the rest back with a reason, and build the month's ERR file.
Your clients log their own trips with the bands, rates and deductions already applied. You pull a clean, ERR-ready export, with no rebuilding and no fixing formulas at month end.
Accountant access is free on every plan and doesn't count towards the user limit.

Yes. Expense.ie produces an ERR file that splits payments into travel and subsistence, vouched and unvouched, ready to upload to ROS. It uses the civil service mileage and subsistence rates that Revenue accepts as tax-free.
We update them in the app as soon as new rates are published. Every new claim uses the current rates, and you don't need to change anything.
