These terms govern your use of expense.ie, the Irish travel and subsistence expense management platform.
Rules for using our Irish travel expense management platform
Subscription pricing, billing cycles, and refund policies
Your responsibilities for data accuracy and security
Service limitations and liability boundaries
By accessing and using expense.ie ("the Service"), you agree to be bound by these Terms and Conditions. This agreement is between you and/or your organization ("you", "your", "User") and the operators of expense.ie ("we", "us", "our"). References to "Practitioner" mean an accountant, bookkeeper, or payroll bureau operating a free practice account to manage client companies on the platform.
If you do not agree to these terms, you must not use our Service. These terms are governed by Irish law and any disputes will be subject to the jurisdiction of Irish courts.
By creating an account or using our Service, you confirm that you have read, understood, and agree to these terms.
Expense.ie provides a web-based platform for managing Irish business travel and subsistence expenses in compliance with Irish Revenue regulations. Our Service includes:
We reserve the right to modify, suspend, or discontinue any aspect of the Service at our discretion, with reasonable notice to users where practicable.
Full Refund Within 30 Days — No Questions Asked
If Expense.ie isn't right for your business, contact us within 30 days of your first payment using the contact form on our website or the message form in your account. We'll process your refund with no questions asked. Refunds are issued through Stripe and typically arrive back in your account within 5–10 business days.
Before requesting your refund: we recommend exporting any data you'd like to keep — expense reports, receipts, audit-trail PDFs, ERR exports, etc. — directly from your account. Once the refund is processed your account and all associated company data are scheduled for deletion and we cannot restore it afterwards.
The 30-day guarantee is available once per customer. This means one refund per person, email address, company, payment method, or household. Re-registering under a different email address, company name, or account does not create a new guarantee entitlement.
No Refunds After 30 Days
After the 30-day money-back guarantee period, subscription fees are non-refundable. We do not provide refunds or credits for any partial subscription periods, plan downgrades, or unused time within your billing cycle.
We do not offer free trials. Instead, all new subscriptions are covered by our 30-day money-back guarantee. If Expense.ie isn't the right fit, request a refund within 30 days of your first payment — no questions asked.
To request a refund or cancel your subscription, use the contact form on our website or the message form in your account.
While we strive to maintain continuous service availability, we do not guarantee uninterrupted access. The Service may be temporarily unavailable due to:
Scheduled maintenance will typically occur during off-peak hours (outside 9 AM - 6 PM Irish time, Monday-Friday). We will provide advance notice of planned maintenance where possible.
We will not be in breach of these Terms, nor liable for any delay or failure in performance, where that delay or failure arises from events or circumstances outside our reasonable control, including but not limited to: acts of God, fire, flood, earthquake, pandemic or epidemic, war, terrorism, civil unrest, government action or legislation, power or internet infrastructure failure, cyberattack, or failure of a third-party service provider essential to the operation of the Service.
Where such an event occurs, we will notify you as soon as reasonably practicable and will use reasonable efforts to resume normal service. If the event prevents us from providing the Service for a continuous period of more than 30 days, either party may terminate the affected subscription by written notice, with a pro-rata refund issued for any prepaid period of unavailability.
Force majeure does not apply to payment obligations — subscription fees remain due for periods during which the Service was available.
The Service, including all software, algorithms, design elements, and content, is protected by intellectual property laws. All rights are reserved unless explicitly granted.
While we strive to provide accurate Irish Revenue compliance calculations, users remain responsible for verifying expense claims and ensuring compliance with current regulations.
To the fullest extent permitted by applicable law, expense.ie shall not be liable — whether in contract, tort (including negligence), breach of statutory duty, or otherwise — for any of the following losses, even if foreseeable or if we had been advised of the possibility of such losses:
Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded or limited under Irish law.
Professional Advice: Our Service provides tools and calculations but does not constitute professional accounting, tax, or legal advice. Consult qualified professionals for specific guidance.
Your privacy and data protection are important to us. Our data handling practices are detailed in our Privacy Policy, which forms part of these terms.
To the extent that expense.ie processes personal data (including employee names, travel records, and subsistence claims) on behalf of your organisation in connection with the Service, the following terms apply in accordance with GDPR Article 28 and the Data Protection Act 2018.
Cancelling your subscription does not immediately end your access — you retain full use of the Service until the end of the billing period you have already paid for. We strongly recommend exporting your reports, audit-trail PDFs, and ERR files before that date. Once the billing period ends, your account and data are no longer accessible. Under TCA 1997 §886, you are responsible for retaining Revenue records for 6 years from the date of each transaction.
These Terms and Conditions are governed by Irish law. Any disputes arising from your use of the Service will be subject to the exclusive jurisdiction of the Irish courts.
We may update these Terms and Conditions periodically to reflect changes in our services, legal requirements, or business practices. When we make changes:
Last Updated: January 2026
If you do not agree to updated terms, you should discontinue use of the Service and cancel your subscription.
You agree to indemnify, defend, and hold harmless expense.ie and its directors, employees, and agents from and against any claims, liabilities, damages, losses, costs, and expenses (including reasonable legal fees) arising out of or in connection with:
We reserve the right to assume exclusive control of any matter subject to indemnification by you, in which case you agree to cooperate with our defence of that claim.
These Terms, together with our Privacy Policy and any other policies incorporated by reference, constitute the entire agreement between you and expense.ie in relation to the Service and supersede all prior agreements, representations, warranties, and understandings, whether written or oral. Nothing in this clause limits liability for fraudulent misrepresentation.
If any provision of these Terms is found by a court of competent jurisdiction to be invalid, unlawful, or unenforceable, that provision shall be limited or severed to the minimum extent necessary, and the remaining provisions shall continue in full force and effect.
Our failure to enforce any right or provision of these Terms shall not constitute a waiver of that right or provision. Any waiver of a specific breach shall not be construed as a waiver of any subsequent breach or of the provision itself.
By registering for or using the Service, you confirm that you are entering into this agreement in the course of your trade, business, craft, or profession, and not as a consumer. The Service is intended solely for business use.
