Built by Irish business owners who got tired of guessing

We're not accountants. We're small business owners who struggled with Revenue's travel and subsistence rules, got burned by messy spreadsheets, and decided to build the tool we wished existed.

Our story

Why we built Expense.ie

For years, we managed travel and subsistence expenses in Excel. It worked, until it didn't.

Rates changed, formulas broke, and we constantly worried whether our records would stand up to an audit. Every time we spoke to our accountants, we ended up double-checking journeys, re-calculating mileage and rewriting explanations. It was frustrating, time-consuming and error-prone.

So we built an internal tool just for ourselves: a simple way to apply Irish Revenue travel and subsistence rules correctly, keep clean records, and stop making manual mistakes.

When our accountants asked what we were using and saw the outputs, they were impressed. They started recommending it to other clients. That's when we turned our internal tool into Expense.ie and opened it up to other Irish small businesses and accountants.

The moment it changed

Our accountants asked what we were using

They saw the outputs, liked the accuracy and clarity, and started recommending it to their other clients.

Still the same people

We're still business owners, not a big tech company, and that's how we like it.

Our journey

How Expense.ie came to be

From Excel frustration to a tool our accountants recommended.

01The struggle: Excel and constant worry

We were small business owners managing travel expenses in Excel. Rates changed, formulas broke, and we worried about Revenue audits. Every accountant meeting meant re-calculating and explaining our records.

02The solution: our own internal tool

Frustrated with the complexity, we built a simple internal tool to apply Irish Revenue rules correctly, keep clean records and remove manual errors. It was just for us, or so we thought.

03The validation: our accountants were impressed

When our accountants saw what we were using, they were impressed by the accuracy and clarity, and started recommending it to other clients. That showed us we had built something genuinely useful.

04Today: sharing it with Irish businesses

We turned the internal tool into Expense.ie and opened it up to small businesses and accountants across Ireland.

Our role

We're not here to replace your accountant

We're very clear about this: we're not accountants and we don't give tax advice.

Applying the rules consistently

Revenue’s published travel and subsistence rules, applied the same way on every claim, every time.

Keeping clean, structured records

So your accountant can review and file with confidence, without rebuilding anything.

Reducing human error

No more manual spreadsheets, one-off formulas or rates copied from last year’s file.

You still make the final decisions with your accountantWe give you accurate calculations and audit-ready records. Nothing on Expense.ie is tax, legal or accounting advice; always confirm your position with a qualified professional. Accountants can read more on Expense.ie for accountants.
Security and privacy

Your data is secure and private

Built for the Irish businesses, accountants and public-sector teams who ask the right questions about how their data is handled.

EU data residency

Hosted on managed EU infrastructure. Your data never leaves the European Union, which matters for GDPR, public-sector procurement and cross-border data concerns.

Encrypted in transit and at rest

Every request is protected with TLS 1.2 or higher. Every record and backup is encrypted at rest with AES-256. Your data is never stored or transmitted in the clear.

Database-level isolation

Row-level security at the database layer keeps one company’s data unreachable from any other. Isolation is enforced by the database, not just application logic.

Modern authentication

Passwords are hashed with bcrypt. Sessions are signed tokens with automatic expiry. Changing your password instantly ends every existing session, on every device.

Full audit trail

Every action on every claim is logged with the user who made it and the exact time. The trail is exportable for internal review, your accountant or Revenue.

You own your data

Export your data any time. Delete your account when you’re done and we remove your records on request, in line with GDPR. We never sell your information.

As Irish business owners ourselves, we know how much it matters to trust the tools you use for financial data. Read the security and data protection details or our full privacy policy.

Our values

Principles that guide our work

Irish Revenue compliance

Every calculation, every rate, every regulation is built to keep you compliant with Irish Revenue requirements, so you can focus on your business.

Simplicity first

Complex Irish tax rules shouldn’t mean complex software. Travel expenses should be as simple as they can be.

Built for Irish business

Made by business owners who understand Irish business culture, its challenges and what Revenue compliance asks of you.

Honest and transparent

Upfront about who we are, how we price and how we support. No sales pressure, no hidden fees, no pretending to be something we’re not.

Always up to date

Built around Revenue rules, kept up to date

Travel and subsistence is too important to set and forget. When Revenue updates something, you shouldn't have to rebuild a spreadsheet.

What the app handlesHow
Mileage by engine sizeCivil service rates by engine category, including electric cars. See the civil service mileage rates.
Progressive mileage bandsEach claimant’s business km are tracked through the year, and trips that cross a band line are split.
Domestic and overseas subsistenceDay and overnight rates by hours away, and overseas rates by country. See all travel and subsistence rates.
Dublin vouched accommodationThe vouched accommodation arrangement for Dublin overnights.
Revenue-ready recordsThe journey details Revenue expects, kept for six years with a full audit trail.
We track Revenue changes

We monitor Revenue's guidance and the circulars, such as the domestic subsistence rates from 29 January 2025. Changes are logged on our Revenue updates page.

We update the rules engine

When rates change, we update the calculators and rules engine, and document what changed and when.

We show the working

The logic behind every figure is on the claim, so you and your accountant can see exactly how it was produced.

Pricing and support

Fair prices, helpful support, no sales calls

We don't run a big sales team. We don't cold-call you or chase you on LinkedIn. That keeps costs fair and the product focused.

Pricing with no tricks

  • Simple plans you can understand at a glance.
  • No long contracts, no set-up fees, no hidden extras. Cancel any time.
  • Predictable monthly billing, so you can budget with confidence.

You should never need to book a demo just to find out what something costs. See our pricing.

Support, not sales

  • Ticket-based support with clear, written answers you can refer back to. No hold music.
  • Real product improvements driven by what users ask for, not sales targets.
  • Clear documentation, so you get answers without waiting on a call.
