Getting started
How do I create an account?
Creating an account is simple. Click "Sign Up" in the header or footer, choose Team or Business, and complete the registration form. You'll need to provide your email address, company information (including VAT number if applicable), and set a password. New Team and Business signups then start a 7-day trial at checkout (card required). Your account is activated as soon as checkout completes — nothing is charged until the trial ends.
What information do I need to get started?
To get started, you'll need your email address, a password, and your company name (with VAT number if applicable). Once registered, you should add at least one vehicle. For cars, you'll enter make, model, year of manufacture, registration number, engine size (in CC), and fuel type (petrol, diesel, hybrid, or electric). The engine size and fuel type determine your Revenue engine category (A, B, C, or E), which affects your mileage reimbursement rates. Motorcycles are also supported (categories M1-M4), as well as bicycles (flat rate per km). You can add more vehicles at any time and designate a primary vehicle for quicker expense creation. If you're on a team plan, you can also invite other users and assign roles during or after setup.
How long does account setup take?
Account setup typically takes just a few minutes. After you complete checkout (including the 7-day trial), you can immediately start adding vehicles and creating expenses. The initial setup involves registering your vehicles and inviting team members (if applicable). Most users are up and running within 10-15 minutes.
Can I try the system before subscribing?
Yes. New Team and Business signups include a 7-day trial. You add a card at checkout and nothing is charged until the trial ends. Cancel before then and you pay nothing; after that it's €29/month (Team) or €49/month (Business) plus VAT. You can also use the free Travel & Subsistence Calculator without signing up.
Is there a free plan?
We don't offer a free plan for expense management, but new Team and Business signups include a 7-day trial (card required, no charge until it ends). There are also two always-free options. First, our Travel & Subsistence Calculator is completely free to use with no sign-up required - it lets you calculate mileage and subsistence allowances using the latest Irish Revenue rates. Second, accountants and bookkeepers can create a free Practice Account to manage multiple clients' expenses from a single dashboard, with no subscription fees ever. After the trial, paid plans start at €29/month.
Do I need to be approved before I can use the system?
For an individual signing up, your account is activated when checkout completes — including during the 7-day trial. For larger teams, the company admin who registers will have immediate access, and they can then approve and invite other team members. There's no external approval process required.
Do you offer online demos or presentations?
We don't run sales calls or live demos. Try the free calculator with no account, or start a 7-day trial and log a real trip of your own (card required, nothing charged until it ends). If something isn't clear, use the contact form — we reply in writing, usually within one business day.
5 questions
Pricing & billing
What are the different subscription plans?
We offer two main plans: Team (€29/month for up to 5 users) and Business (€49/month for up to 15 users). New signups include a 7-day trial — card required, no charge until it ends. Both plans include the same core features: Irish Revenue compliant mileage calculations, subsistence allowances, vehicle management, expense reporting, and one free accountant access. For teams of more than 15 users, email us your team size and we'll send back a price.
Can I add an accountant to my account?
Yes. Every subscription plan includes one free Accountant seat with read-only access—your company pays for your plan; the accountant does not pay. Your accountant can log in to view all company expenses, filter by user or date range, generate reports, and export data in PDF or CSV format, but they cannot create, edit, delete, or approve expenses. This seat does not count toward your plan's user limit. Accountants and practices can link to many clients: each client has their own subscription and simply links their accountant, so access is free for the accountant.
Can I upgrade or downgrade my plan?
Yes, you can change your plan at any time. Upgrades take effect immediately with prorated billing. For downgrades, contact our support team and we'll help you transition at the end of your current billing period to avoid any service interruption.
What payment methods do you accept?
We use Stripe for secure payment processing. We accept all major credit and debit cards, including Visa, Mastercard, and American Express. Payments are processed securely and renew automatically each month.
Can I cancel my subscription?
Yes. Only the company Owner (the person who started the trial or subscription) can cancel. If you are on the 7-day free trial, go to Company Admin → Subscription and click Cancel trial — you pay nothing and keep access until the trial end date. If you are on a regular paid subscription, go to Company Admin → Subscription and click Manage Billing to cancel in the Stripe customer portal. After the first charge, access continues until the end of the billing period you have already paid for. Other Company Admins cannot cancel. You can export your data before cancellation; we retain data for 30 days after cancellation in case you want to reactivate.

Mileage calculations
What are the civil service rates for mileage and subsistence?
The civil service rates for mileage and subsistence are the official rates set by the Irish Government for reimbursing employees who use their own vehicles for work travel or who incur meal and accommodation costs while away on business. These are the same rates approved by Irish Revenue as the maximum tax-free amounts employers can pay without triggering a tax liability. For mileage, the civil service rates follow a four-band structure based on your annual cumulative distance and vehicle engine category (A, B, C, or E). For subsistence, the rates depend on how long you are away from your normal workplace — €19.25 for 5–10 hours and €46.17 for over 10 hours, with separate overnight rates up to €205.53 per night. Mileage rates have been in effect since 1 September 2022 (Circular 16/2022, unchanged). Subsistence rates were last updated on 29 January 2025 (Circular 04/2025). Expense.ie automatically applies the latest civil service rates to every expense you create, so you never need to look them up or calculate manually. Visit our Travel & Subsistence Rates page for the full rate tables.
How does mileage calculation work?
Our system uses the Irish Revenue civil service mileage rates, which follow a progressive four-band structure. When you create an expense, the system looks at your vehicle's engine category (A, B, C, or E), checks how many kilometres you've already driven that calendar year in that vehicle, and applies the correct per-kilometre rate for the band you're currently in. For example, your first 1,500 km in a year fall into Band 1, the next 4,000 km into Band 2, and so on up to Band 4 for distances above 25,001 km. Each vehicle is tracked independently, so if you use multiple vehicles, each has its own year-to-date mileage tally. The system handles all of this automatically - you simply enter your trip distance and it calculates the correct reimbursement amount.
What are the Irish Revenue mileage rates for 2026?
Mileage rates vary by engine category and which of the four annual mileage bands you are in. Category A (up to 1,200cc): ranges from €0.4180/km in Band 1 down to €0.2056/km in Band 4. Category B (1,201-1,500cc): ranges from €0.4340/km down to €0.2385/km. Category C (over 1,500cc): ranges from €0.5182/km down to €0.2587/km - these are the highest rates. Category E (electric): uses Category B rates, ranging from €0.4340/km down to €0.2385/km. Hybrid vehicles use the category matching their actual engine CC. Note that Band 2 (1,501-5,500 km) actually has higher rates than Band 1 for all categories (e.g. €0.7264-€0.9063/km), which reflects the Revenue civil service rate structure. Visit our Travel & Subsistence Rates page for the complete rate table.
How do I determine my vehicle's engine category?
When you register a vehicle in the system, you enter its engine size (in cubic centimetres) and fuel type. The system then automatically assigns the correct Revenue engine category. For cars: Category A covers engines up to 1,200cc, Category B covers 1,201cc to 1,500cc, Category C covers engines over 1,500cc, and Category E applies to fully electric vehicles (using Category B rates). Hybrid vehicles use the category matching their actual engine CC. For motorcycles: Category M1 covers up to 150cc, M2 covers 151-250cc, M3 covers 251-600cc, and M4 covers 601cc and above. Bicycles use a flat rate of €0.08 per km and don't require engine details. You can find your engine size on your vehicle registration certificate (logbook) or by checking your vehicle's specifications. Each category has different per-kilometre rates, with Category C (larger car engines) receiving the highest reimbursement rates.
What are mileage bands and how do they work?
Irish Revenue uses four progressive mileage bands based on your cumulative annual distance per vehicle. Band 1 covers 0 to 1,500 km and has the highest per-kilometre rate. Band 2 covers 1,501 to 5,500 km. Band 3 covers 5,501 to 25,000 km. Band 4 applies to all kilometres above 25,001 km and has the lowest rate. As you accumulate mileage throughout the year, the system automatically tracks which band applies and calculates the correct rate for each new trip. Mileage bands reset at the start of each calendar year, and each registered vehicle is tracked independently.
Can I register multiple vehicles?
Yes, there is no limit on the number of vehicles you can register. The system supports cars, motorcycles, and bicycles. Each vehicle is tracked independently with its own engine category, annual cumulative mileage, and mileage band position. Cars use engine categories A, B, C, or E with a four-band mileage system. Motorcycles use categories M1 through M4 (based on engine cc) with a two-band mileage system. Bicycles use a flat rate of €0.08 per km. If you use multiple vehicles during the year, each one progresses through its mileage bands separately. You can designate one vehicle as your primary vehicle, which will be pre-selected when you create a new expense for faster data entry.
How do I handle return trips?
When creating an expense, simply tick the "Return Trip" checkbox. The system will automatically double the distance you entered for the mileage calculation, so you only need to enter the one-way distance. For example, if your destination is 50 km away, enter 50 km and tick "Return Trip" - the system will calculate your mileage based on 100 km. Alternatively, if your return route was different from your outbound route, you can leave the checkbox unticked and enter the total round-trip distance manually. The calculated mileage reimbursement is shown in real-time as you fill in the form.

Subsistence allowances
What are subsistence allowances?
Subsistence allowances are tax-free payments that employers can make to employees to cover the cost of meals and incidental expenses when travelling away from their normal place of work on business. Irish Revenue sets specific maximum rates depending on two factors: how many hours you are away from your workplace, and whether you stay overnight. To qualify, you must be travelling at least 8 km from both your home and your normal place of work. These allowances are separate from mileage claims and can be claimed on the same trip - mileage covers your vehicle travel costs, while subsistence covers your food and accommodation. The system supports both "vouched" (receipted) and "unvouched" (flat-rate) subsistence claims, with different rules for each.
What are the current subsistence rates?
The current Irish Revenue domestic subsistence rates have been in effect since 29 January 2025. The day allowances are: €19.25 for trips of 5 to 10 hours away from your normal workplace, and €46.17 for trips exceeding 10 hours. For overnight stays, the standard rate is €205.53 per night for the first 14 nights. If you stay at the same location for 15 to 28 consecutive nights, a reduced rate of €184.98 per night applies. For stays of 29 or more consecutive nights (known as the detention rate), the rate is €102.76 per night. For international travel, subsistence is set per country (Circular 07/2017) in each country's own currency, not euro — for example France (Paris) €316.50, Germany (Berlin) €239.50, Spain (Madrid) €287.00 per night, and the UK (London) £199.29 in sterling. Day rates are also set per country in local currency, so there is no single flat international day rate. Our expense form lets you select your destination country and automatically applies the correct civil service rate. Dublin has special vouched accommodation rules — see the Dublin-specific question below. You can view all current rates on our Travel & Subsistence Rates page.
How do I qualify for subsistence allowances?
Eligibility is based on two criteria: distance from your normal workplace (you must be at least 8 km away) and the duration of your trip. For a day allowance of €19.25, you must be away for between 5 and 10 hours. For the higher day allowance of €46.17, you must be away for more than 10 hours. For overnight allowances, you must stay away from home overnight on business. Overnight rates also depend on the length of your stay: the standard rate of €205.53 applies for the first 14 nights, reducing to €184.98 for nights 15 to 28 at the same location, and further reducing to €102.76 for stays of 29 nights or more. When creating an expense, enter your departure and return times and select whether it's an overnight trip - the system calculates your eligibility and applies the correct rate automatically.
Can I claim subsistence for the same day as mileage?
Yes, mileage and subsistence are two separate allowances that can be claimed on the same trip. Mileage reimburses the cost of using your personal vehicle for business travel, while subsistence covers meals and incidental expenses incurred while away from your workplace. When you create an expense in the system, you enter both your journey distance (for mileage) and your trip duration or overnight status (for subsistence), and the system calculates both allowances together in a single expense record. This is the standard approach under Irish Revenue rules.
Are there special rates for Dublin?
Yes, Dublin has a specific vouched accommodation arrangement. When you stay overnight in Dublin on business, you can claim up to €205.53 for vouched (receipted) accommodation costs, plus a separate meal allowance of €46.17. This is different from the standard overnight rate, as you must provide receipts for the accommodation portion. In the system, mark your destination as Dublin and select "vouched" subsistence to apply these rates. The system will show the appropriate fields for entering your receipted accommodation costs.
5 questions
Revenue compliance
Is the system compliant with Irish Revenue regulations?
Yes. The system is built specifically around the Irish Revenue civil service mileage rates and subsistence allowances, which are the benchmark rates approved for tax-free reimbursement. All mileage rates, engine categories, band thresholds, and subsistence allowances reflect the current Revenue guidelines. Mileage rates are from Circular 16/2022 (effective 1 September 2022), and subsistence rates from Circular 04/2025 (effective 29 January 2025). The system also supports Enhanced Reporting Requirements (ERR) under the Finance Act 2022, Section 897C, which requires employers to report certain non-taxable payments to Revenue. You can generate ERR-compliant export files directly from the Reports section. We monitor Revenue updates and apply rate changes as they are published.
How do you ensure Revenue compliance?
The system has a built-in compliance engine that validates every expense in real-time as you create or edit it. It checks several factors: that the business purpose is clearly stated and doesn't resemble a regular commute, that the distance claimed is reasonable for the route, that time requirements are met for the subsistence rate being claimed, and that all documentation is in order. Each expense receives a compliance score from 0 to 100, giving you immediate visibility into how well it meets Revenue requirements. The system also flags potential issues with warnings and recommendations so you can correct them before submission. All calculations use the official Revenue-approved civil service rates and follow the prescribed band structure.
What happens if Revenue rates change?
We actively monitor Irish Revenue publications and circulars for rate changes. When new rates are issued, we update the system so that all new expenses use the current rates. The most recent rate update took effect on 29 January 2025, when the subsistence allowances were revised. Importantly, historical expenses keep the rates that were in effect at the time they were created - this preserves your audit trail and ensures accuracy if Revenue reviews past claims. You do not need to take any action when rates change; the system handles it automatically.
What is a compliance score?
Each expense receives a compliance score between 0 and 100 that indicates how well it aligns with Irish Revenue requirements. The score is calculated by assessing several factors: whether the business purpose is clearly stated and does not resemble a regular commute, whether the distance claimed is reasonable for the stated route, whether time requirements are met for the subsistence rate being claimed, whether receipts are provided where required (for vouched claims), and whether all mandatory fields are completed. A higher score means stronger compliance. The system also assigns a risk level (low, medium, or high) and provides specific warnings or recommendations if it detects potential issues. This gives you the opportunity to correct any problems before submitting the expense for approval.
What if Revenue audits my expenses?
The system is designed with audit readiness in mind. You can export detailed PDF reports that include everything Revenue typically looks for: mileage logs with specific routes (from/to locations), business purposes for each trip, dates and times, vehicle details, subsistence claims with duration justification, compliance scores, and full approval history. You can also generate ERR (Enhanced Reporting Requirements) exports in the CSV format required for Revenue submissions under Section 897C of the Finance Act 2022. Every expense maintains a complete audit trail showing when it was created, modified, submitted, and approved or rejected, along with who performed each action. We recommend exporting and retaining these reports for at least 6 years from the end of the relevant tax year, in line with Revenue record-keeping requirements (Section 886 TCA 1997).
5 questions
User management
What are the different user roles?
The system has five user roles with different access levels. A "User" is a standard employee who can create, edit, and submit their own expenses. A "Company Admin" has all user abilities plus the power to manage team members, review and approve or reject submitted expenses, and access company-wide reports. An "Admin" has system-level access for broader management. A "Super Admin" has full access across all companies in the system. The "Accountant" role provides read-only access—they can view company expenses, generate reports, and export data, but cannot create, edit, or approve expenses. Accountant access is free: clients pay for their own subscription and link their accountant; accountants and practices can have many clients linked to them.
How do I add users to my company?
Company Admins can add users through the Admin Panel. Navigate to User Management, click "Add User", enter their email and details, and assign their role. The new user will receive an email invitation. Users count toward your subscription limit (except accountants, which are free).
What is an Accountant role?
The Accountant role gives read-only access to a company's expenses and reports. Accountants can view expenses, generate reports (PDF, CSV, and ERR exports), filter by user, and mark expenses as filed with Revenue, but cannot create, edit, or delete expenses. Access is free: the client company pays for its own subscription and links their accountant, and the accountant seat does not count toward the client's user limit. Accountants can also create a practice and use the practice dashboard to manage multiple clients from a single location — viewing client overviews, approving link requests, and generating reports across all linked companies. See our For Accountants page for more details.
What happens if I reach my user limit?
The system prevents you from adding more users once you reach your plan's limit. You'll see a warning when approaching the limit. To add more users, you'll need to upgrade to a higher plan. Existing users are not affected when you upgrade or downgrade.
Can I change a user's role?
Yes, Company Admins and Super Admins can change user roles at any time through the User Management section in the Admin Panel. Select the user you want to update, edit their profile, and choose their new role from the dropdown. The change takes effect immediately, and the user's permissions will be updated the next time they load the application. Keep in mind that upgrading a user to Company Admin gives them expense approval capabilities and access to all company expenses, while downgrading an admin to a standard User role restricts them to managing only their own expenses.
8 questions
Expense management
Can I add expenses from previous years?
Expense.ie is built around the current Irish tax year (1 January to 31 December). When you sign up, you can log expenses from 1 January of the current year onwards — so joining mid-year gives you the full year from day one. Previous years are not supported; your existing records from prior years should stay in whatever system you used before. For historical record-keeping and Revenue audit purposes, the Company Data Export feature produces a Revenue-ready archive of any year your company has data for.
How do I create a new expense?
From the Expenses page, click "Add Expense" to open the expense form. Enter the trip date, select your vehicle, specify the route (from and to locations), distance in kilometres, and a clear business purpose describing why the trip was necessary. You can tick "Return Trip" to automatically double the distance. Next, set your trip duration or departure/return times, and indicate whether it was an overnight stay, an international trip, or a Dublin destination. Choose between "vouched" (receipted) or "unvouched" (flat-rate) subsistence. You can also add parking fees, toll charges, and other expenses with descriptions. The system calculates your mileage reimbursement and subsistence allowance in real-time as you fill in the form, and shows a compliance score so you can address any issues before submitting.
Can I edit an expense after submitting it?
Yes, you can edit an expense at any stage - draft, submitted, or even approved. However, if you edit a submitted or approved expense, its status automatically resets to "Draft", meaning it will need to go through the approval workflow again. This is an important compliance feature: it ensures that any changes to previously reviewed expenses are re-examined by the approver before being finalised. All modifications are recorded in the expense's audit trail, so there is a full history of what was changed and when.
How does the approval process work?
By default, expenses follow a single-tier flow with five statuses: Draft, Submitted, Approved, Rejected, and Paid. When you create an expense, it starts as a Draft. Once you submit it, a Company Admin reviews the business purpose, amounts, compliance score, and supporting details, and either approves or rejects it. Rejections include a reason; you can then edit (which resets it to Draft) and resubmit. Once approved, expenses can be marked as Paid when the reimbursement is processed. Separately, approved expenses can be flagged as "Revenue Filed" once they have been included in an ERR export. The full approval history is recorded for audit-trail purposes. Owners are notified by email at every stage. For organisations that need it, a Two-Tier Approval workflow (Manager → Finance) is also available on the Business plan — see the next question for how that works.
What is Two-Tier Approval and who is it for?
Two-Tier Approval is an optional workflow available on the Business plan and activated on request. It splits approval into two stages: a Manager validates the trip side (was the journey legitimate, business-relevant, reasonable?) and then a Finance Approver validates the compliance side (correct rates, receipts attached, ready to pay). The flow becomes Draft → Submitted → Manager Approved → Approved (Finance) → Paid, with separate manager and finance rejection reasons. Owners get a different email at each stage including the rejection reason; Finance Approvers get a dedicated email when a claim reaches their queue. Any user can be granted the Finance Approver flag — independent of base role — so it fits an in-house accountant, CFO, or finance manager. It is most useful for organisations with 10+ employees, public-sector bodies, charities, or any company whose internal policy requires two named approvers per expense. Single-tier remains the default for everyone else.
Can I show staff a custom policy note on the expense form?
Yes. Company Admins can configure custom policy reminders in Company Profile that appear on the expense form for every user in the company. Each note can be either a Banner (always visible at the top of the form) or a Popup (shown once per session, with an "I understand" acknowledgement). Use cases include: "Public transport is the default mode of travel for journeys under 50km", "All claims over €50 require a scanned receipt", or any internal travel policy. Up to 20 notes per company, edited and saved directly by the company admin — no Super Admin approval needed.
What are "other expenses"?
"Other expenses" is a flexible category for any travel-related costs that fall outside of standard mileage and subsistence allowances. Common examples include taxi fares, public transport tickets, flights, conference fees, accommodation costs (when not using the subsistence overnight rate), or any other business travel expenditure. When adding other expenses to a trip, you enter the amount and a description of what the cost was for. These are categorised as "Travel Vouched" under the ERR reporting framework, meaning receipts should be retained. Parking fees and toll charges have their own dedicated fields on the expense form and are tracked separately.
How do I filter and search expenses?
The Expenses page provides several filtering options to help you find specific records. You can filter by status (Draft, Submitted, Approved, Rejected, Paid), date range, vehicle, or user (for Company Admins viewing team expenses). A search function lets you look up expenses by business purpose, route locations, or other text details. Filters can be combined - for example, you could view all approved expenses for a specific vehicle within a particular month. Company Admins and Accountants have additional visibility and can filter across all users in their organisation, which is useful for reviewing pending submissions or generating team-wide reports.
4 questions
Reports & analytics
What reports can I generate?
The Reports section offers several types of export. Standard expense reports include detailed mileage logs showing each trip's route, distance, vehicle, engine category, band rate, and business purpose. Subsistence summaries show allowance types, durations, and applicable rates. You can filter by trip date, approval date (for payroll runs), user, status, vehicle, or amount. All reports include compliance scores and approval history. Exports are available in Excel (XLSX) with typed cells and a frozen header, PDF for audit documentation, CSV for importing into accounting or payroll software, ERR (Enhanced Reporting Requirements) CSV for direct Revenue submission under Finance Act 2022 Section 897C, and a dedicated Audit Trail export (Excel & PDF) capturing the full history of every claim — created, submitted, approved, rejected with reason, paid — including timestamps and actor names.
How do I export my expense data?
Navigate to the Reports page, select your desired date range and any filters (by trip date, approval date, user, status, vehicle, or amount), then choose your export format. "Export Excel" produces a native XLSX file with a Summary sheet (totals, status breakdown) and an Expenses sheet (typed dates, typed numbers, frozen header) — opens cleanly in Excel ready to sort, sum and pivot. "Export PDF" produces a formatted, audit-ready document with all compliance details, routes, business purposes, and approval history. "Export CSV" outputs raw data suitable for importing into accounting software or spreadsheets. There is also a dedicated "ERR Export" option that generates a Revenue-compliant CSV file for Enhanced Reporting Requirements (Finance Act 2022, Section 897C), automatically split into the correct Revenue subcategories (Travel Vouched, Travel Unvouched, Subsistence Vouched, Subsistence Unvouched, Site Allowance) ready for direct submission.
Can I generate reports for Revenue audits?
Yes. Two formats are designed specifically for Revenue audits. First, PDF and Excel reports include detailed mileage logs with from/to routes, business purposes, trip dates and durations, vehicle details and engine categories, subsistence claims with time-based justification, and compliance scores. Second — and most useful for "who approved what and when" questions — there is a dedicated Audit Trail Export available in both Excel and PDF, which captures every action on every claim within the chosen period: created, submitted, manager-approved, finance-approved, rejected (with the stage-specific reason), and paid, including timestamps and who performed each action. The Audit Trail is exactly what Revenue auditors and internal compliance reviewers ask for. ERR exports remain available as CSV for direct submission. We recommend retaining all exports for at least 6 years from the end of the relevant tax year (Section 886 TCA 1997).
What analytics are available on the dashboard?
The dashboard provides a visual overview of your expense activity. Key metrics include: total expense amounts for the current month and year, trend charts showing how spending has changed over time, a status breakdown showing how many expenses are in draft, submitted, approved, or rejected states, cumulative mileage statistics per vehicle, your most-used vehicles, average compliance scores, and a breakdown by expense category (mileage, subsistence, parking, tolls, other). Company Admins see aggregated data across all users, while standard users see their own personal metrics. The dashboard gives you a quick way to spot patterns, identify compliance issues, and track overall travel expenditure without needing to run a full report.
5 questions
Security & privacy
How secure is my data?
All data is encrypted both in transit (using HTTPS/TLS) and at rest in the database. The system uses secure authentication with hashed passwords, and role-based access controls ensure that users can only access data appropriate to their role. Company data is isolated at the database level, meaning one company's data is never accessible to another. Daily automated backups protect against data loss. The platform is hosted on EU-based infrastructure to comply with GDPR requirements, and all access is logged for audit purposes.
Where is my data stored?
Your expense records and their backups are stored on a dedicated database server hosted by Hetzner in Finland (EU). Some supporting services, such as payments (Stripe) and email delivery, are run by providers based outside the EU; the data processing section of our Terms lists every provider we use. Your data is subject to EU data protection regulations.
Can I export all my data?
Yes, you can export all your data at any time. Use the Reports page to export expense data as PDF or CSV. For complete data export including users, vehicles, and settings, contact support. We respect your right to data portability under GDPR.
What happens to my data if I cancel?
When your access ends (at the end of the trial, or of the billing period you have paid for), you can no longer log in, and we permanently delete your organisation's data within 30 days. Export your expense records (PDF, CSV and ERR files) before access ends, especially if you need them for Revenue. Remember that Irish Revenue requires you to keep expense records for at least 6 years from the end of the relevant tax year (Section 886 TCA 1997), so make sure you have copies stored independently before your data is removed.
Do you comply with GDPR?
Yes, GDPR compliance is built into the platform. Your data is stored exclusively in EU-based servers, ensuring it remains under EU data protection jurisdiction. We support your right to data portability - you can export all your expense data at any time in PDF or CSV format. We honour deletion requests in line with GDPR Article 17 (the "right to be forgotten"), and data is securely deleted 30 days after account cancellation. Access to data is controlled through role-based permissions, and all data is encrypted both in transit and at rest. Our Privacy Policy provides full details of our data processing practices, retention policies, and your rights as a data subject.
