Trips from home follow Revenue’s “lesser of” rule

When a trip starts from home, Revenue lets you claim the shorter of the distance from home and the distance from your normal place of work. Tick Departs from home, pick your office once, and the form works out both distances and claims the shorter one, so nobody is over- or under-paid.

  • The office distance is calculated for you, and remembered for next time
  • A reminder when a trip looks like it started from home but isn’t ticked
  • Approvers see the office and any kilometres removed on the claim

Approvals, rebuilt as a clear to-do list

Everything waiting for you sits in one queue. Open a claim to see its compliance checks, how the mileage splits across the civil service bands and the totals, then decide from the same panel.

  • Reject with a reason. It is emailed to the employee and stays on the claim
  • Approve or reject several claims at once
  • A To pay list, so a whole batch can be marked paid in one go
  • One Export menu for PDF, Excel, ERR and audit-trail files

An expense form that shows its working

As you fill in a trip, the form shows where it lands on the four civil service mileage bands, the sum line by line, and which subsistence rule applies. Employees and approvers can both see why a claim comes to what it does.

  • Band ruler with your kilometres so far this year
  • Worked maths for mileage and subsistence
  • Progress from draft to submitted, approved and paid

ERR exports ready for monthly reporting

Budget 2027 announced that from 1 January 2027 employers can report expenses under ERR by the 14th of the following month, instead of on or before payment. The ERR export lets you pick last month and file on that cycle once the change becomes law.

Every overseas subsistence rate, built in

The civil service foreign rates are in the app, country by country and city by city. For non-euro destinations the form asks for the exchange rate and links to the ECB rate for your travel date.

  • Mixed trips: drive to the station, then train or bus, with the ticket as a receipt
  • Legs that cross a border are spotted automatically

Ask the in-app assistant

Stuck on a rule or a screen? Signed-in users can ask the assistant in the User Guide. It answers from our own guide and FAQ in plain English, and points you to support when it can’t help.

Receipt attachments

Attach photos or PDFs of tolls, parking or hotel receipts to a claim, so the evidence travels with it through approval.

Two-tier approval: manager, then finance

For larger teams: a manager signs off the trip, then a finance approver signs off the payment, each with their own rejection reasons and a dedicated finance queue.

Finance-friendly exports and email updates

Native Excel exports, an audit-trail export in Excel or PDF, and a filter by approval date for payroll runs. Employees get an email whenever a claim is approved, rejected or paid, and admins can add policy reminders that show on the expense form.

Joined mid-year? The right band from day one

Tell Expense.ie how many kilometres each car has already claimed this year, and every new trip uses the correct civil service mileage band. A progress bar shows how close you are to the next band.

Route maps and automatic distance

Type the start and end addresses and the form finds the road route, draws it on a map and fills in the kilometres. Choose the shortest route or avoid tolls and the distance updates straight away.

  • Address autocomplete as you type
  • Saved with the claim and with your favourite routes

Multi-leg and international journeys

Build a trip leg by leg: car, flight, ferry, train, taxi or bus. Only vehicle legs earn mileage; the rest become receipts. Destinations abroad switch on international travel automatically.

  • Warnings for claims that contradict each other, like full mileage alongside a flight
  • Deductions when a meal was provided

Commute deduction and duplicate checks

Set your normal commute once. When a trip starts from home, tick a box and the commute comes off the claimable kilometres, doubled for a return trip. Possible duplicates (same day and route, or same day and amount) are flagged before you save.

CO₂ estimates on every trip

Each claim shows estimated emissions from its distance and fuel type, using SEAI and EU emission factors. Reports total them by fuel type for your sustainability reporting.
